Pay Calculations for Temporary Employees

 

Employees in temporary, non-benefits eligible positions, are paid on a monthly basis the number of hours worked in the pay cycle times the hourly rate. To calculate which weeks of work are being paid in any particular month, you need to know which schedule you are on and which day of the week the schedule ends on. Most temporary employees are on Schedule A, which starts on Sunday and ends on Saturday. The weeks with ending dates between the 16th and the 15th are the weeks which will be paid at the end of the month. Weeks are not split – if the 15th is on a Wednesday, then all the hours worked that week will be paid in the following pay cycle. Click here to see a listing of all the schedules for 2006.

 

Pay Calculations for Employees in Benefits Eligible Employees (Except Paramedics)

 

All benefits eligible employees are paid a fixed monthly base salary for working all of their scheduled hours in the pay cycle. If all the hours are not worked due to overused leave, etc., then the hours not worked are multiplied by your annualized hourly rate to get the amount that is subtracted from the base salary to get your pay for the month. Your annualized hourly rate is calculated by taking your monthly salary, multiplying by your FTE, then dividing by 173.33.

 

Examples:        $2,000.00 / (1.00 * 173.33) = $11.5387

               Full-time employee earning $24,000.00 per year.

 

               $1,075.00 / (.50 * 173.33) = $12.4034

               Part-time (20 hours per week) employee earning $12,900.00 per year.

 

Overtime and other types of premium pay are paid based on the FLSA schedule weeks worked in the pay cycle.

 

New Hires – regular employees who begin work on the first day of the pay cycle will be paid their full base salary for the month. For those who begin on a day other than the first day of the pay cycle pay for the month is calculated as follows. For the pay cycle (16th – 15th) in which you began employment – add the number of hours that were worked. Subtract this from 173.33 (prorated for FTE). Multiply this by your annualized hourly rate. Subtract this figure from your monthly base salary to get your pay for the month.

 

Terminations – regular employees who terminate employment on the last day of the pay cycle will be paid their full base salary for the month. If you terminate during the pay cycle, pay is calculated as follows. For the pay cycle (16th – 15th) in which you terminate employment – add the number of hours that were NOT worked. Multiply this by your annualized hourly rate. Subtract this figure from your monthly base salary to get your pay for the month. Unused annual leave up to 240 hours and unused holiday up to 16 hours will be paid out upon termination. If eligible, prorated longevity will also be calculated and paid. Multiply unused annual leave and holiday by your annualized hourly rate to calculate the amount that will be paid to you. Final pay is in the form of a check and the check will be mailed to your home.

 

Leave Without Pay – regular employees who go on extended leave or return from extended leave during a pay cycle will have their base pay for the month calculated as follows. Calculate the total number of hours NOT worked during the pay cycle. Multiply this by your annualized hourly rate. Subtract this figure from your monthly base salary to get your pay for the month.

 

Promotions/Salary Adjustments – if you receive a salary adjustment in the middle of a pay cycle, your pay is calculated as follows. Take the number of total work days in the pay cycle and divide into your old monthly salary then multiply by the number of days you worked under the old salary. Take the number of total work days in the pay cycle and divide into your new monthly salary then multiply by the number of days you worked under the new salary. Add these two together and that is your base pay for the month.

 

EMS Employee Pay

 

Unlike all other regular County employees, EMS employees (paramedics) are not paid a monthly salary for the 16th thru 15th time period. EMS employees are paid a weekly base pay. Each week’s pay is figured separately and they are paid each month for either 4 or 5 weeks, depending on the timing of the FLSA schedules.

 

Calculating pay for a temp paramedics is the same as for any other temp County employee. You take the hourly rate and multiply by number of hours worked in a week. Any hours worked in any week in excess of 40 is paid at the 1½ time overtime rate.

 

To calculate pay for a regular paramedic on the fluctuating workweek schedule:

 

Base pay – this is paid to the employee whether they work 1 hour or 61 hours in the week. The ONLY time a paramedic’s pay can be docked is the week of hire or week of termination or in the case of disciplinary suspension.

 

       Example for a paramedic whose annual salary is $42,135.48.

 

       Base weekly pay = $42,135.48 divided by 52 or $810.30

 

Overtime is calculated as follows:

 

Take the weekly base pay and divide by the total number of hours actually worked in the week. Take this figure and multiply by .5 to get the overtime rate for that week. Multiply this figure by the number of hours actually worked over 40. Annual leave, sick leave, etc, does not figure into this calculation.

 

Example –        48 hours worked

               Base pay        $810.30

               Overtime rate  = $810.30 / 48 X .5 = $8.44

               Overtime pay = $8.44 X 8 or $67.52

               Total pay for week = $877.82

 

Training is paid at 1 and ½ times the average hourly rate. The average hourly rate is calculated by dividing the monthly salary by 242.67 which represents the average hours worked in a month.

 

To continue with the above example, monthly salary is $3,511.29, and average hourly rate is $3,511.29 /242.67 or $14.4694. Training pay would be paid at $21.7041 times the number of hours.

 

Special Event pay is paid at the 1 and ½ times the average hourly rate, or 1 and ½ times the hourly rate for the week, whichever is higher. Using the above salary figures, a paramedic who worked 48 hours in a week and had 5 hours of special event would get paid as follows:

       

       Weekly pay $810.30 divided by hours worked 48 = $16.8813

       Average hourly rate $14.4694

       Special event would be paid at $16.8813 X 1.5 X 5 or $126.61

 

If the paramedic had 5 hours of special event during a week in which he/she worked 72 hours, the special event would be calculated as follows:

 

       Weekly pay $810.30 divided by hours worked 72 = $11.2542

       Average hourly rate $14.4694

       Special event would be paid at $14.4694 X 1.5 X 5 or $108.52

 

Holiday premium is calculated by multiplying half the average hourly rate by the number of holiday premium hours worked. $7.2347 in the above example.

 

Vacation and unused holiday are paid out upon termination at the average hourly rate – or $14.4694 in the above example.
